    Administrative Assistant - Arts and Humanities Division

    New York University Abu Dhabi (NYUAD) seeks to appoint an Administrative Assistant

    The Administrative Assistant is responsible for a wide range of administrative functions for the the Writing Program and Writing Center under the Arts and Humanities Division. The position also provides support to the Undergraduate Academic Development Office which works very closely with Writing Program and Writing Center. The candidate will support day-to-day aspects of office operations, including effective coordination of meetings, events and administrative systems. As well as semester/yearly initiatives such as the Writing Studies Working Group conference, course scheduling activities, retreats and orientations.

    Duties and Responsibilities

    Your main responsibilities in this role include the following:


    • Serve as the Administrative Assistant for the Writing Program and Writing Center, assuming responsibility for administrative and operational needs:

    • Event planning and scheduling for semester wide faculty/instructor meetings, Student Plenary’s, Writing Studies Working Group conference, Retreats, Open Houses and special events

    • Assist the Directors with with leave and time in-lieu tracking, local onboarding activities and coordinating weekly staffing schedules for the Writing Center

    • Provide support to the Peer Tutor Program and Student Assistantship program

    • Assist the Directors with organisation of programs and initiatives, such as scheduling activities and program specific course evaluations

    • Serve as the coordinator for MyWCOnline. Including registration support, reporting and scheduling

    • Liaise with communications team to produce promotional materials and ensure program websites are updated

    • Provide general support including front desk support for the Writing Center during peak periods, space coordination, calendar management, meeting bookings, file management, email alias monitoring, development of contact / mail merge lists and program-wide correspondence

    • The position will also provide support to the Undergraduate Academic Development Office (UADO) as required:

    • Plan meetings and workshops for the Core Curriculum and NYUAD Teaching Development Series

    • Provide support to special projects and initiatives, such as Core Curriculum User Guide and Core Faculty Orientation

    • Monitor activity of department budgets and maintain data on spreadsheets. Review expenses and invoices for accuracy, investigate discrepancies, and report results to supervisor

    • Provide general support to the UADO including calendar management and travel bookings for the Associate Vice Provost for Undergraduate Academic Development, and leave coverage for administrative positions within the UADO


    Job Requirements

    • UAE Nationals are encouraged to apply

    • High School diploma or equivalent

    • Two years of progressive professional and administrative experience

    • Prior experience working with administrative and financial policies and procedures

    • Superior written and oral communications skills in English

    • Advanced business computing and internet skills

    • Experience with the Google Suite of programs (including Drive, Docs, Sheets, Forms, Slides) and/or Microsoft Office Suite (Word, Excel, PowerPoint)

    • Exceptional interpersonal skills

    • Project coordination, time management and priorities management skills

    • Analytical and problem solving skills plus a teamwork and dedicated customer service approach

    • Ability to communicate cross-functionally with all levels and in an academic environment

    • Organized work habits, consistent accuracy, and attentiveness to detail

    • Ability to maintain confidential and sensitive information and documents

    • Flexibility to adapt to organizational needs for New York University in New York and New York University in Abu Dhabi

    • Desirable Qualifications

    • Bachelor’s degree welcomed

    • Prior experience in a higher education environment or comparable field

    • Knowledge of administration and academic processes and procedures in a university setting
