Job Description
To be responsible to maintain day to day administrative functions in order to meet requirements and support the operations of Recruitment and Emiratization.
Duties and Responsibilities
Your main responsibilities in this role include the following:
General Administration
Complete broad variety of high-level admin task for Recruitment and Emiratization.
Control the Office activities to provide a complete administrative service to the Recruitment and Emiratization
Take minutes / summary notes of meetings as required.
Coordinate and follow up on matters relating to the Recruitment and Emiratization Agenda and action items ensuring concerned members are informed of what they are expected to do in addition to the time frame for accomplishment of requests.
Professional point of contact for internal and external stakeholders.
Establish and maintain active relationships with relevant governmental and private institution with regards to supporting Recruitment and Emiratization.
Diary & Time Management
Manage the Head of Recruitment and Emiratization agenda through taking and updating appointments as necessary, contacting concerned parties and keeping a log of important activities to be undertaken to ensure the optimization and best utilization of the Head of Recruitment and Emiratization’s time
Correspondence
Provide efficient personal assistance and confidential correspondence support in Arabic and English to the Recruitment and Emiratization, routing correspondence as necessary and taking initiative in drafting replies, where appropriate, to ensure that all communications are dealt with appropriately.
Generate different office templates.
Maintain in and Out tracking system.
Office Management
Act as first point of contact and respond to inquiries for both internal and external parties who wish to contact or meet the Head of Recruitment and Emiratization and screen the requests to ensure those with genuine and important reasons are given priority.
Receive and screen calls, emails & other posts, follow up on actions on behalf of the Head of Recruitment and Emiratization and sometimes on routine matters.
Develop and maintain appropriate document filing systems and ensure compliance with records retention procedures.
Provide additional support on special projects as and when required.
Documentation
Manage the filing, storage and security of documents.
Support with pre checking of invoices and expenses to reconcile accounting records.
Maintain the database of the Head of Recruitment and Emiratization’s business cards.
Presentation & Meetings
Assist the Head of Recruitment and Emiratization in producing presentations and speeches through requesting and compiling needed information and undertaking any computer related activities and overseeing the print and graphic quality of the output to facilitate the Head of Recruitment and Emiratization’s role.
Follow ups
Proactively follow up on actions and various correspondences to help ensure a timely and effective conclusion
Job Requirements
Bachelor’s Degree
Minimum 5 Years’ experience supporting at the executive administration level.
Excellent written and verbal communication skills (English & Arabic)
