Description
To provide clerical support to SVP Compliance, Safety and Sustainability, including secretarial services, administrative duties and coordination of internal, external requests received by the SVP’s Office.
Key Responsibilities
- Assists the SVP Compliance, Safety and Sustainability with administrative tasks, including coordinating appointments and external liaisons.
- Supports the SVP by preparing data analysis and statistical reports to facilitate informed decision-making.
- Manages meeting minutes, organizes documents, and maintains departmental records for efficient retrieval.
- Drafts, reviews, and sends communications on behalf of the SVP’s office, ensuring clarity and professionalism.
- Records and monitors all GCAA communications, applications, approvals, and authorizations for updates and validity.
- Organizes and prepares for events by coordinating with attendees and managing logistical details.
- Maintains and continually updates the SVP’s schedule, overseeing planned appointments, conferences, teleconferences, and travel.
- Coordinates travel arrangements for departmental contractors, including those with the GCAA, ensuring smooth logistics.
- Arranges and manages departmental activities, to support team cohesion and productivity.
- Maintains accurate employee records for departmental personnel, ensuring compliance with company policies.
- Manages the submission of documents and records to the GCAA, ensuring timely and accurate compliance.
- Provides historical reference by developing and utilizing filing and retrieval systems.
- Maintains office supplies inventory by monitoring stock levels, anticipating needs, and placing orders to ensure availability.
- Performs additional tasks as assigned by the SVP to support department objectives.
Requirements
- High School Diploma
- Fluent in English (other languages an advantage)
- Minimum 3 years of working experience in aviation environment in a technical or administrative capacity.
- Extensive knowledge of Microsoft Office Suite
