Description
As a Ground Operations Officer, you'll serve as a liaison between the Head of Ground Operations and respective functional teams and GHAs across the network. Effectively manage administrative tasks, databases, records, and correspondence. Monitor daily OTP reports and activities to generate reports and analyses highlighting performance, delays, shortages, and trends. This ensures smooth operations and workflow in compliance with Air Arabia and GCAA/CAA standards and regulations.
Act as the primary contact for internal and external parties, including Airport Managers, Outstations, Hubs, GHAs, Safety, Security, and Vendors. Maintain records and correspondence for easy retrieval. Circulate changes or updates to policies and procedures related to Ground Operations, including GCAA/CAA and Immigration procedures. Issue Ground Service Advisories to outstations to keep them informed and ensure timely ordering and printing of disembarkation cards to avoid fines.
Handle the day-to-day administrative activities of the Ground Operations Department, including communication, manpower allocation, procurement, attendance, leave, IDs, medical cards, meeting minutes, reports, training coordination, bills, payments, filing, mail, and more.
Collect data from Outstations and other sources to generate function-related reports, statistical sheets, graphical analyses, and records as needed. These reports will cover station performance, targets, flight information, punctuality, baggage handling, Go Show, immigration fines, denied boarding passengers, and more. Submit these reports to management for review.
Represent the Ground Operations Department in the daily "On Time Punctuality Meeting," support outstations, and justify controllable delays. Analyze data and reports from outstations to identify trends and reasons for flight delays.
Update flight delays in the Cesar database based on daily OTP meetings and generate "On Time Punctuality Reports" for G9 and Outstations, including graphical representations of outstation performance.
Support teams and outstations with internal and external audits, follow up with GHAs on closure actions, and circulate reports to concerned parties while recording data in the Q-Pulse system.
Coordinate between stations and the Safety Department, collect reports such as "Air Safety Reports" and "Ground Operations Incident Reports," and communicate findings to management for recommendations on corrective measures.
Communicate, update, and maintain GHAs, Vendors, and Suppliers contracts and Service Level Agreements (SLAs) for G9 and Outstations ground operations. This includes processing payments, meetings, and communications. Monitor GHA agreements and contracts and liaise with the legal and contract department on new and renewed GHAs.
Follow up with concerned parties on closure actions, record and monitor actions in the Safety Database through the Safety Management System in coordination with the Safety Department.
Manage procurement and purchase requests and inventory for the corresponding HO and Outstations in a cost-effective manner, ensuring all necessary materials are ordered, purchased, received, and stored according to company procedures and in coordination with the Procurement Department.
Requirements
To be considered for this role, applicants must possess a Bachelor's degree in Management, Administration, Statistics, or a related field from a recognized university. Alternatively, a diploma in Office Management or a similar field combined with relevant experience will be accepted. Experience in airport safety and security procedures is a valuable asset. Additionally, certifications or training in Project Management, Cost Control, Compliance, and Quality Assurance are preferred and may be required for certain candidates. Proficiency in Microsoft Office, particularly advanced Excel, along with strong internet, web search, and graphics skills is essential. Excellent verbal and written communication abilities, including presentations, public speaking, and report writing, are crucial. Fluency in English is mandatory, while Arabic language skills are a plus.
Candidates should have 2-4 years of experience in an administrative or coordination role within Ground Handling Operations at a regional airline, aviation company, or Ground Handling Agency (GHA). Experience working for a low-cost airline is a beneficial addition. Familiarity with GCAA/CAA regulations pertaining to Ground Handling policies, procedures, and licenses is essential. Proven experience in Quality Assurance, Safety, Security measures, and internal/external audit practices is highly valued. The ability to effectively work with data and resources to identify trends and irregularities is a key requirement. Applicants must be adaptable to new techniques and technologies to achieve optimal performance.
